Overview

Assists with the preparation, review, and management of contracts.  Responsibilities include maintaining an organized contract filing system, assisting in the preparation of quotations, and ensuring the timely preparation and issuance internally of Customers Purchase Orders

Qualifications

EDUCATION & EXPERIENCE MINIMUMS:

  • Bachelor’s degree in Business Administration, Contract Management, Supply Chain or a related field.
  • 2+ years of experience in contract administration, order processing, customer service, or operations coordination.
  • Experience interacting with customers professionally via email, phone, and in personal.
  • Familiarity with basic contract review and document control practices.

 

EXPERIENCE PREFERRED:

  • Familiarity with FAR/DFARS and government contracting requirements.
  • Experience using ERP systems (e.g., Oracle, SAP) for order entry and tracking.
  • Understanding of export compliance, ITAR, and handling foreign person access approval.
  • Prior experience in the chemical manufacturing or aerospace/defense industry.
  • Knowledge of freight coordination and basic logistics principles.
  • Experience with document scanning systems and electronic filing.

 SKILLS / ABILITIES:

  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Excellent attention to detail and organizational skills.
  • Ability to prioritize and manage multiple tasks in a deadline-driven environment.
  • Basic understanding of commercial documentation (e.g., purchase orders, quotations, shipping invoices).

Responsibilities

  • Assist in the preparation, review, and administration of contractual proposals relating to the Perchlorate and Halotron Business.
  • Provide customer service in a timely manner via email, face to face interactions, and /or telephone.
  • Coordinate with various departments involved in the contract processes.
  • Ensure the timely preparation and issuance of quotations for customers’ requests.
  • Process orders and eventually serve as a backup for all Perchlorate and Halotron orders
  • Track and monitor contracts and related documents to ensure timely reviews and order confirmations.
  • Develop and maintain a thorough understanding of the products and service being offered at American Pacific
  • Ability to prioritize tasks and complete them in a high-pressure environment.
  • Maintain an organized contract filing system.
  • Track FAR and DFAR clause database.
  • Serve as a back-up to approve and validate Foreign Persons requesting access to American Pacific
  • Coordinate and obtain shipping / freight quotes to ensure timely delivery of goods.
  • Input and scan checks into the US Bank SinglePoint Accounting System.
  • Approve freight invoices from Accounts Payable, ensuring they match the quotation received.
  • Review Contracts to ensure their validity and assess storage requirements.
  • Scanning Records

Schedule:

9-80 schedule. M-TH 7am-4:30pm FR - 7am-3:30pm - next week M-TH 7am-4:30 pm FR- off
